With the app Outlook one for example can block himself so that colleagues know when you are busy.
Furthermore, a practice applied in the business world is planning with only 80% of your work capacity. Make sure to keep those 20% free, which are reserved for spontaneous meetings and tasks that you can not plan beforehand. I experienced myself that this way of planning my month in advance helped to manage my time efficiently and keep on track with my tasks.
